Assistant Rental and Birthday Coordinator

The Assistant Rental and Birthday Coordinator is responsible for coordinating rental events and birthday parties. They will have a deep understanding through accumulated experience and education of appropriate communication and organization techniques. 

Responsibilities include: 

  • Corresponds with potential and current rental clients
  • Schedules meetings and tours answers questions and inquiries by phone and email
  • Manages a calendar of events 
  • Manages client’s event contracts and ensures fulfillment of all contracted services
  • Schedules and processes payments
  • Coordinates with and takes direction from the Rental and Events Coordinator and Director of Operations. 
  • Collaborates with other departments to provide specialty services, catering, cleaning, and set up for events
  • Schedules necessary staff and volunteers needed for  Aviary events
  • Manages our stock of rental items.
  • Works weekends and after-hours events as needed
  • Researches potential changes to the pricing structure of Aviary rentals to drive revenue 
  • Supports public programing and fundraising events
  • Coordinates and manages birthday parties

Job Qualifications:  

Requires someone that is personable and has excellent communication skills. 1-2 years of customer service and event management experience is preferred. Experience with database management is a plus. Experience with Google Workspace, Microsoft Office, and Adobe. Ability to plan long term and think strategically. Experience working both collaboratively and independently on projects. Being multilingual is a plus. This person should have the ability to respond quickly and appropriately to emergency or sensitive situations along with the ability to carry out work according to policy and procedures. Tracy Aviary staff are required to be covid-19 vaccinated or show proof of weekly negative test results as a qualification for employment. 

Comments:  

This position consists of office related work, and outside on-grounds work setting up events lifting of approximately 40 lbs. Evenings often till midnight and weekend work is required. This is a full time position with benefits. 40 hours/week at $14.25-15.75/hour depending on experience.
