Rental and Events Coordinator

Job Title:  Rental and Events Coordinator

Job Status: Full time, non-exempt $14.00 - 15:00 an hour. 

Reporting Relationships:  Reports to the Marketing and Development Director. 

Job Summary:  This position includes, but is not limited to, the following responsibilities:

  • Recruits and corresponds with potential and current rental clients
  • Schedules meetings and tours for clients as well as answers questions and inquiries by phone and email
  • Manages a calendar of events
  • Manages client’s event contracts and ensures the fulfillment of all contracted services
  • Schedules and processes payments
  • Collaborates with other departments to provide specialty services, cleaning, and set up for all Aviary events
  • Schedules necessary staff and volunteers needed for all Aviary events
  • Manages our stock of rental items, orders replacements when necessary, and orders new rental items to increase revenue
  • Works weekends and after-hours events as needed
  • Contributes to the administrative team’s various work efforts
  • Manages rental event marketing and investigates opportunities for investment in advertising as well as commissions graphics for marketing and signage
  • Researches potential changes to the pricing structure of Aviary rentals to drive revenue
  • Coordinates with Aviary catering services for events
  • Supports marketing and fundraising events
  • Completes yearly reports as well as seasonal research projects to track event finances and forecasts the coming months. Manages events budget.
  • Manages the birthday party coordinator

Job Qualifications:  A Bachelor’s Degree in business, marketing, or a related area is preferred, but not required. Experience with database management such as Blackbaud products is a plus.  Experience with Gsuite, Microsoft Office. Experience with Adobe products including Acrobat and Creative Suite is a plus.  2 years of customer service and event management experience is required. Ability to plan long term and think strategically. Ability to weigh the cost of investment against potential benefits. Experience working independently on long-term projects.

Work Environment: Mainly office related work with some outside on-grounds work involved. Some lifting of 20 lbs or under. Night and weekend work is required as needed (work schedule during the week can be adjusted to accommodate for weekend work).
